# Departments and units

Group members into departments and units, and optionally give each department a Discord role.

Departments are the main parts of your organization, such as _Support_, _Events_ or _Operations_.
A department can contain **units**: smaller teams like _Weekend team_ or _Moderation_. Each member
belongs to at most one department and one unit.

Departments are used all over Crew: to filter the directory, to post announcements to one team, to
give onboarding checklists and activity requirements to one part of the organization, and in the
headcount chart on the dashboard.

## Adding and removing departments

Open **Settings → Departments**. Under **Departments & units**:

- Type a name and click **Add department**.
- Open a department to see its units, and add a unit by name.
- **Delete department** removes it and its units. Its members stay in Crew, without a department.

Managers can add departments and units too. Only Super Users can delete them.

> [!TIP]
> A role can belong to one department, for example _Support Lead_. Set it with **Edit** under
> **Settings → Roles & access**. People added automatically with that role are put in its department.

## Moving members between departments

- Edit the member's profile and pick another department and unit, or
- the member submits a **Transfer** request. When their manager approves it, Crew moves them
  automatically.

Moving someone also gives them the new department's onboarding checklists. See
[Onboarding checklists](/crew/onboarding).

## Department roles in Discord (optional)

Crew can also give members a **Discord role for their department** and take it away when they move
or leave. This is separate from your role list: it's for roles like `@Support` that say _where_
someone works, not their seniority.

1. Under **Department roles in Discord**, turn on **Sync department roles**.
2. For each department, pick its Discord role, or click **Create role** to have Crew make one.
3. Click **Save**. Crew tells you how many role changes it made in Discord.

Crew only touches the roles chosen here. Roles with moderation or admin permissions, roles that give
Crew access and roles linked to a Crew role can't be used as department roles.

> [!NOTE]
> Like any role Crew hands out, the bot's own role must be above department roles in **Server
> Settings → Roles**.

When you delete a department that has a Discord role, Crew asks whether to delete the Discord role
too (only if Crew created it). If you keep it, Crew takes it off the department's members first, so
nobody is left with a role Crew no longer manages.

## The org chart

The **Org chart** is drawn from the **Manager** field on each profile, not from departments. Use
**View** to switch between the chart and a list, and **Collapse teams** to fold everyone under
their manager. Members without a manager are grouped under **No manager set**.
