Short answers to the questions people ask most about Crew.

## General

**What does Crew cost?**
Crew is free to use today.

**What kind of organizations is Crew for?**
Any team, organization or community that runs on Discord: companies, public services, clubs,
volunteer groups and more. Crew uses general terms (roles, departments, activity) so it fits however
you're structured.

**Does everyone need a Crew account?**
No. People sign in with Discord; there are no separate accounts or passwords. Profiles can also exist
for people who never sign in.

**Can I use Crew in more than one server?**
Yes. Each server is a separate organization with its own data and settings. Switch between them with
the organization switcher.

## Roles and access

**What's the difference between a role and an access level?**
A **role** is someone's place in your structure (_Team Lead_). An **access level** is what they may do
in Crew (Manager). Each role gives one access level. See [Access levels](/crew/access-levels).

**Do I have to link roles to Discord roles?**
No, but it's what keeps Crew and Discord in sync, and it's how Crew knows people's access. Roles that
exist only in Crew still work as titles and for promotions.

**Will Crew mess with our moderation roles?**
No. Crew never gives or removes Discord roles with moderation or admin permissions, and only changes
roles you've linked or chosen as department roles.

**Can a manager promote someone above themselves?**
No. Managers can only give roles up to their own access level, and only to people in their reporting
line.

## Data and privacy

**Who can see contact details and disciplinary records?**
Only the member, the managers in their reporting line, and Super Users.

**Does Crew read our Discord messages?**
No. Crew sees your server's members and roles, and nothing else from Discord.

**How do I get my data out?**
Members download their own data under **Account settings → Download my data**. Managers and Super
Users can export the directory as CSV, and Super Users the audit log. The [API](/crew/api) gives
programmatic access.

**What happens if we remove the bot?**
The organization is archived (read-only) and permanently deleted after about 30 days unless you
re-invite the bot and restore it.

**Where is the data stored?**
On Cloudflare's infrastructure, with 30 days of recovery history. See the

## Features

**Can members clock in from Discord?**
Yes: `/crew clockin` and `/crew clockout`. See [Discord commands](/crew/slash-commands).

**Can Crew email people?**
No. Crew notifies by Discord DM, and in the app when a DM can't be delivered.

**Can people apply for a job without being in our server?**
No. Applicants must be members of your Discord server and sign in with Discord.

**Can we show our staff on our website?**
Yes, with the [public staff directory](/crew/staff-directory), which shares names, titles and
departments only.
