With Jobs, your organization posts openings that people apply to on the Crew website. An application team reads and recommends, Super Users decide, and accepted applicants are added to Crew with the right role and department.

The Jobs page is visible to Super Users and the application team. It has two parts: Openings (your jobs) and Applications (everything people sent, filtered by job and Status, with To decide first).

Creating a job

Super Users click New job:

  • Title and Description: what the job is and who you're looking for.
  • Role and Department (optional): what accepted applicants get. They're given the role's Discord role too.
  • Questions: up to 20. Each is a Short answer, Long answer or a choice (Choices, one per line), and can be Required.
  • Picture link (optional): a direct https:// link to an image, shown in the Discord announcement and at the top of the application page.
  • Close automatically (optional): a date and time (in your timezone) after which nobody can apply.
  • Post applications in (optional): a Discord channel where each new application is posted. See below.

Each job gets its own link, crew.noyralabs.com/jobs/…, that can't be guessed. Use Copy link to share it anywhere: your website, social media or a DM.

Note: Crew never stores the picture. The application page loads it through Crew, so applicants' browsers only talk to Crew. Discord attachment links expire after a while, so host the image somewhere permanent.

Announcing it in Discord

Under Announcement, pick a Channel and who to Ping: nobody, @everyone, @here or a role. The bot posts the job (title, your organization, the description, when applications close and the picture) with an Apply button.

  • Pinging @everyone, @here or a role that isn't mentionable needs the Mention Everyone permission for the Crew bot. Crew warns you if the ping won't work.
  • Closing or reopening the job updates the announcement. Announcing again replaces the earlier post.

Applying

Applicants open the link, Continue with Discord to sign in, and answer the questions.

  • They must be members of your Discord server.
  • They can have one open application per job.
  • The page tells them exactly who reads their answers: "Your organization's team reads your answers and your Discord name. Decided applications are deleted after 90 days."
  • After sending, they get a Discord DM from the Crew bot when there's a decision.

The application team

Under Application team, choose Discord roles for two kinds of team member:

  • Managers read applications and recommend approve or reject, with a comment.
  • Readers read applications only.

Team members also need access to the organization in Crew (any access level, even View only). Super Users are always part of the team and make the final decision.

Tip: Team members can apply to their own jobs to try the flow. Acting on your own application never changes your current role.

Applications in a Discord channel

If you set Post applications in, Crew posts each new application in that channel with the answers and buttons:

  • Accept / Decline, with a private confirm step, for Super Users;
  • 👍 / 👎 for the team's managers, to recommend;
  • Open in Crew, to read it on the website.

The buttons only work for the application team. Anyone else who clicks gets a private "no". The post updates itself with the team's votes and the outcome.

Warning: The post includes the applicant's answers. Pick a channel only your team can see.

Crew doesn't DM anyone about new applications. Use the channel, or check the Jobs page (the menu shows a count).

Deciding

Open an application to see the answers and the Team reviews. A Super User clicks Accept or Decline, with an optional Message to the applicant that's sent with the decision.

  • Accepting adds the person to Crew with the job's role and department. Their Discord role follows, and they get onboarding checklists like any new member.
  • Declining just records the decision.

Either way the applicant gets a Discord DM. Decided applications are deleted after 90 days.

Closing and deleting jobs

  • Close a job to stop applications. It keeps its applications, and the announcement says it's closed. Reopening a job whose closing time has passed clears that time.
  • Delete a job to remove it, its applications and its Discord announcement.

Troubleshooting

  • "This job isn't available". The link is wrong, or the job was deleted.
  • An applicant can't apply. They must be in your Discord server and signed in with that account.
  • The ping didn't notify anyone. Give the Crew bot Mention Everyone, or make the role mentionable.
  • "A channel Crew can't see any more". The channel was deleted or the bot lost access. Pick another channel.
