Requests are how members ask for something that needs a manager's yes: time off, a move to
another team, more access, or anything else. Each request gets a number (like REQCREW000042), goes
to the right person, and keeps a record of who decided it and why.
Submitting a request
Open Requests and choose a type under Submit a request:
| Type | You fill in | When approved |
|---|---|---|
| Leave | Start date, optional End date, and a reason. | The leave appears on the leave calendar. |
| Resignation | Your Last working day and a note. | Recorded; your manager updates your status when the time comes. |
| Transfer | The Target department and, optionally, a Target unit. | Crew moves you and gives you the new department's checklists. |
| Permission | What do you need?, for example access to a tool or channel. | Recorded; your manager arranges it. |
| Other | A Subject and details. | Recorded. |
Every type has a Reason / note field. You can also request leave from Discord with
/crew leave.
Two more kinds of request start elsewhere:
- Certification and training records: on your own profile, click Request to add a certification or a training you've done. It's added to your profile once approved.
Note: The reason for a leave request is private. Colleagues only see that you're away and when; your managers and Super Users see the reason.
Who decides
Requests go to your direct manager (the Manager on your profile), who is notified straight away. If you have no manager, your request goes to the Super Users.
- Managers see their direct reports' requests on the Requests page, and in Discord with
/crew requests. - Approve or Reject, optionally with a note. You're notified of the decision either way.
- Nobody can decide their own request.
Tip: The Requests item in the menu shows a count: requests waiting for you, plus unread notifications.
Withdrawing a request
Changed your mind? Open the request and click Withdraw while it's still pending. Decided requests can't be withdrawn. Ask your manager instead (for example, to cancel approved leave).
How long requests are kept
Decided requests are removed after 7 days. What they led to stays: approved leave stays on the calendar until 90 days after it ends, and transfers, certifications and trainings stay on the profile. The decision itself is recorded in the audit log for as long as your organization keeps it.
Troubleshooting
- My manager doesn't see my request. Check the Manager field on your profile. Requests only go to your direct manager.
- "The requested department no longer exists". The department was deleted after you asked. The manager should reject the request and you can submit a new one.
